Prepurchase Question: How Can I Manage Songs from Two Different Hymnals in Proclaim?

Please set aside the Proclaim licensing issue for a moment & guide us on a technical issue.

Two churches from different denominations & hymnals share our building & secretary, who prepares Scripture & Song projection for separate worship services.

Often, song titles in our two hymnals will be the same, but words & sometimes even the music are often different.

How might we use Proclaim to build, keep track of, & use separate song libraries? Our ability to purchase appropriate licenses depends on solving that challenge.

Every group has a 'My Songs' database that holds all songs you have added to presentations and customized. As long as you make a change to a song item (whether it be lyrics or the title), that song will be saved in 'My Songs'. It should show you a preview of the lyrics of each song, so you can discern between two songs with different lyrics.

Two different Proclaim groups (one for each church) should be used in this case. A single version of Proclaim can be installed on the church computer. When a user from group A signs into Proclaim they will only see their group's content and likewise when a user from group B signs into Proclaim they will only see theirs.

Also worth noting that the secretary can be a member of both groups and can switch between them (without signing out) during service preparation.

Thank you... on the licensing question, a separate 501(c)3 owns the building for both churches, hires the secretary that supports them both, & owns all real property (including the projection laptop & all software on it). Each church is around 50 members in size, around 30 in worship on a Sunday. The pastors & congregations are separate, but all else is in common.

How many licenses will we need to be legit?

Looking back at our terms and they are very location specific. Your unique situation only requires a single license but I think this is more of an oversight as this is not how Proclaim is designed to be used. You will experience difficulty maintaining your own versions of songs and group uploaded content. Proclaim syncs a multitude of group preferences which will be different for each group. Do you plan to have anyone other than the secretary participate in the creation of the presentations? If so you run the risk of members of the other congregation changing your congregation's presentation. The Faithlife panel allows group members to communicate throughout the week from within the application. This could awkward with both groups having access.

I'm sure there are other potential issues but you get the idea. I recommend two licenses for your situation.

The worship services are completely separate, with different songs & Scriptures. What's common is the secretary who prepares both bulletins & projection files.

I'd be adding Scripture citations (in addition to the main Scripture) to project for OUR worship service (as now, delivered via USB drive).

With the capability, I suspect the other pastor would be adding Scripture citations for THEIR worship service.

Your response triggers another question, though: how would two licenses work on ONE laptop?

Each licence would be linked with a particular Proclaim group, as Scott described earlier. Someone who is a member of both groups can switch between groups at will.

Two licenses per year puts the software well out of our reach. In our 501(c)3's thinking, $500 ONCE, 5 years ago, is still a remembered as a big expense. $400 / year would be an impossible sell. Even $200 / year is greater than they'll want to subscribe to, but at that cost I have hope...

Even counting the membership of both churches, we still fall into the 1-99 category on pricing.

But if the cost they can afford isn't one that really provides the functionality they'll need, all this is moot.
