Organizing Our Libraries

I am curious to know how other users are organizing thier libraries. How do you use tags, collections, favorites, bookmarks and layouts to organize your libraries? I haven't used tags or collections a great deal. Mostly I use layouts and favorites. For example I have a layout that I have named Easter where I placed books that deal with the cross and resurrection. I use favorites in a similar way using folders so that I can quickly view resources that are related or for resources that I want to quickly locate.

Do not know so much of a layout named 'easter' but I do have pre-set layouts that before I close I ctrl+alt+L to save if I choose to.

Also have a blank layout for starting the program and I only have collections no tags or prioritizations, when I do an 'Entire library' search I want the entire library....as for 'quickly locate' I know my library fairly well and can start to type in the resource in the command line and clickity-click....

This would be very helpful. Until they do, one possibility would be to create a list in a note file or create a Personal Book. Users could then copy/paste tags.

I had to delete some layouts. But what I've done is create layouts for layouts for OT and NT. Then I can open and modify for the specific passage and rename under specific passage I'm studying. I use the number system of 01 ect. to keep my current study at the top. I can rename when I'm done to use later.

This isn't true of the field for adding tags to a resource. You can just misspell to your hearts content (which creates brand new, misspelled tags, rather than adding them to the others as you'd intended.) Ideally, the box would allow you to both autocomplete AND select from a list. Sometimes I can't remember what I called something. [:$]

That is my main complaint with tags. I found that I forgot the names I used for some, misspelled others etc and then wondered where they were. I think this is a drawback of using tags the way they are but I can also see that they have value to put similar resources together. Since this can also be done in collections I still have not decided that I need to go to all the work of putting thousands of tags on everything.

Tags can be very useful, and collections can be built upon them. On the other hand, if you spend hours and hours manually creating collections (by adding books one at a time), the usefulness is "one and done." Your collection is only as good as the books you have manually added, and you can't really do anything else with it. A collection built upon tags, however, continues to grow as you continue to tag books.

Morris Proctor spends a good amount of time promoting this idea. He suggests that you regularly spend a few minutes at a time tagging books, and in this way, over time, you will have a much more powerful library. Consider this: A library that didn't put books back on the right shelf would be a disaster. But imagine a library without the dewey decimal system. Even if the books were put on the right shelf, how effective would a library be where the only organization was by the title of the book, or the author's last name? You might have a geometry book right next to a Dr. Suess! Tagging is the best way to help organize your collection.

I guess I went to tags since it matches my personality: no patience. When I started out with maybe 3500 books, I just used the library filter to narrow the list, and then mass selected, tailoring with control-clicks. Similar to Windows Explorer.

One advantage I have is that I have almost no double-tags ... one tag per book due to Logos not managing either tags or collections well. Like R4M, I know what I have. So as I tag, the untagged remain in the top untagged 'folder'. Eventually there's none in that 'folder', until I get more books. So it's very easy to manage. I also always know when new downloads are available for reading.

That pretty much summarizes why I prefer collections as well. But I'm also considering doing a thorough job on tagging in addition but my challenge is to come up with the right tags and then to be consistent in typing them.

Way back when, when tagging was introduced the only usefulness I found was that I could do "mytag:books to read" I could read a book to its entirety then remove it from the list. So when I state that "I do not know of many that have read their entire Library"....

Every tag is a collection. Prefer using dynamic rules for collections; wiki has => http://wiki.logos.com/Example_Collections and => http://wiki.logos.com/Canonical_Commentary_Collections

Do have a collection with a rule using one tag since the collection appears nears the top in a search drop down list:

Bible Grid Favorites is useful when searching Bibles with results shown in a grid. Favorites has a variety of items, including some links to open specific collections. Thankful for Logos 5 adding collection to fsd command, which can use collections (including mytag):

fsd in mytag:biblegrid

For tagging, personally have many acquisition and morphology tags, which are not in Logos meta data. After downloading Logos 5 Portfolio upgrade, tagged 888 resources added to library with Portfolio5. Looking forward to Logos adding a library date to show when resource was first licensed for use. For community pricing resources, use a CP tag.

Thankful for 369 free Vyrso ebooks since Thanksgiving 2011 (the 369 count includes 10 samplers); resources are tagged with Free#### that can be filtered in Library:

edition:e mytag:free

If want count of free eBooks by a year, can add year #### to mytag filter. For example, mytag:free2012 has 282 editon:ebook.

Multiple tags are fine as long as you're adding them; you can add tags singley or in multiples. The problem comes when you want to do some surgery; Logos provides a delete all tags; but not a selected tag. So to do your surgery, you need to go one-by-one since you've got multiple tags on a resource.

Most people I've read on the forum just go with single tags. For example, I have my AYB tagged as a commentary group. In theory, I could add a second tag for all my Luke commentaries. But I don't work that way. I typically have a favorite Luke and then I move across the parallels (arrow key using the resource). Same with my lexicons, etc.

I don't wish to pan collections per se, but tags are very transparent, since Logos gives a column for it. I quickly 'hit' the Tag column heading, scroll down and get what I want. I work across three software packages at any one time, and two more for certain resources. Simplicity is good.

Another thing I might add, is that Logos allows editing the title and short title. So I combine all 3 to cover the bases. For example changing the titles to Luke-AYB, Luke-WBC, etc quickly solves both finding 'Luke' and finding 'my' favorite Lukes as well. I don't have to waste time with the Luke's I don't like when I'm in a hurry. But when more time, they're there with Logos parallels.

tags that specify topic and type. I include information about in which base-package the book came, in the form L5.... Plus each topic or type has a number. A "#" before the number stands for OLL or L4 Catholic Foundations plus all books purchased separately until the summer 2012. The numbers go up to 391. I put Faithlife very last because I had run out of numbers and it's a different kind of resource. I've given for example each English Bible version a number, manuscripts use up many numbers, each ECF-volume, some sets have a number for each volume, and also each Bible book (for for example commentaries).
So if I want all the books under a topic or type I can either type the word (it's usually shorthened), or the number if I've memorized it.
If there are more related books under a different number, I've added a second tag, a "+".
It took some time to create this but it was well worth it. When I was ½ finished I looked through and found unused numbers and noted those in Notepad. Had to relabel a lot of books to change the numbers when I ran out of numbers when wanting to add additional topics/types. Because the numbers follow the order of the alphabeth. Used up the unused numbers, there may be one or two left.
Some numbers are used twice. (The Old Testament Survey is not an important work for me):
collections, I'll create many of them, to be able to do limited searches. Some books I haven't tagged and plan to just put in collections instead, for example most volumes of: Biblical Performance Criticism Series (4 vols.).
layouts. I still have very few of them.
favourites. Few yet.

I've looked through a few times to spell-check. That didn't take a long time. I would basically not benefit from auto-complete at all.
(I installed L4 on this newer computer with 300 GB HDD from the DVD (it's about 9 months old, bought used a couple of weeks ago) because it has only 1.6 GB RAM available (exandable to 7.6 GB available), haven't had time to expand the RAM yet but really have to. (I have another laptop with an SSD as C:, an external 7200 rpm HDD and 4 GB RAM and L5.))
For most books of the Bible I don't have multiple major/good commentaries and therefore don't need to distinguish them. But I abbreviate for example the Hermeneia -commentaries "H" and Continental "CCS".
You can see that some "Lk" have chapter numbers, most of those are papyri manuscripts transcribtions.
"LES" stands for Lexham English Septuagint
"Min" stands for ministry, there's only one book there, I have also categories such as Serm with a lot more.

And I who've always thought of things the other way around: tags, and collections built on tags, are static: unless you take the time to add new tags, the collections stay the same. Normal rule-based collections, on the other hand, grow by themselves, without you needing to do anything.

Yes, I use dozens of tags as well -- for Bible background, denomination, doctrinal issue, and other things that can't easily be picked up automatically -- but I'd never use them for things the Collection tool can do much faster and easier and more reliably than me.

Not sure about that. For me the whole idea with tags is that you don't have to put the books 'on one shelf'. A Siddur is both Judaism and Liturgy. When we get Scott Hahn's The Lamb's Supper it will be both Cath, BiblTheol, DogmTheol, Sacr, Liturgy, Eschatology, and Read, and quite possibly a few more. If I only tagged it once, it wouldn't show up when I did a search on any of the other tags/collections, which would make the tags rather useless. At least for my purposes. Plus, multiple tags allows me to make, permanent or temporary, collections like mytag:cath mytag:dogmtheol, to search only Catholic dogmatic theology.

+1, with one exception. I think it is good to tag commentaries. There are times where you want an exegetical commentary… there are times where you want a devotional commentary. I have not done so yet, but I am tempted to start tagging commentaries based upon theological bent, for the sake of being able to "pull one off the shelf" when needed.

Plus how'd you know I use Bible_English? (Of course, I sometimes also have Bibles_English too). But I have subsets for my searches (20th century, pre-20th, and recent translations of non-greek Bibles).

I see it now. The biggest advantage to your system is when new resources are added BUT not all commentaries are in a series, and you might want to adjust descriptions among volumes in a series. Your rule is pretty cool though. I might just give it a try. [:)]

Actually, in real life I'm not using exactly that. I like short, so for Technical, I'm currently using type:bible-commentary AND abbrev:(AB,AKOT,BECNT,CCS,ECC,FOTL,HERM,ICC,JPS,K&D,Metzger,NIGTC,PNTC,SRC,WBC,Zerwick) OR title:("word pictures", "word studies"), but that requires some manual tweaking, since not all of those series come with those abbreviations. Hence I chose to suggest both abbrev and series above.

I also haven't updated my commentary collections for a long time, so I don't think Wright, Navarre or CCSS show up in any of them for the moment. I guess I ought to get around to that some day...

I do, however, have an 'Unclassified Commentaries' collection based on type:bible-commentary, and with all other commentary collections in the Minus field, so spotting commentaries that ought to be somewhere, but aren't, is pretty easy. Then it's just a matter of taking the time to add the 'correct' abbreviation to volumes that come without it, adding a new abbreviation to an existing collection rule, or drag an 'odd' commentary to a Plus field. And now that we can show collections in Library, it's going to be even easier. Series I don't know if I'm ever going to want to use, I just leave there.

Another advantage is that it's easy to have JPS in both a Technical and a Jewish commentary collection, without having to double tag, and the same for Catholic commentaries.

When Logos 5 came and I got to see community tagging, I had a hard time believing what it was showing me about how many people seem to be using useless (or trival) tags like Bible_English. That was one of the first automatic collections I set up, and while I had to manually exclude some greek bibles for a while because of metadata issues, individually tagging this would seem a waste of time. The few tags I have bothered with have been for things like theological perspective of the author.

The more I think about it, the community tags we see are a witness to how users use actually USE the library management. Evidently people have a hard time understanding the rule based collections.

Or have chosen to adopt a "tag-based" approach.

I do have a number of collections set up based on rules - but have also gone through and tagged everything in my library - including Bibles and Commentaries.

I ended up finding it easier to define the tags (and associated collections) as I wanted them as opposed to building up complex rules. I accept that this means there is work to do when I purchase new resources (they are not assigned to collections automatically) but it helps to impose a discipline of looking at the resources I have purchased and thinking about how I want to manage them.

So I have ended up using a combination of both which works well for me.

Like others, I would really value enhancements to the library management system particularly in how tags can be selected and applied to groups of resources and modified after having been applied.

(3) And some of them don't ever get tags ... they sit in the untagged folder waiting for a Logos refund (and thus me knowing if they did it; emails get lost)

In general, all of my resources have at least two tags (this was an idea I picked up from someone else on the forums[:)])

the virtual Shelf they are on - and I allow myself the luxury of having a single resource on multiple shelves
the theme of the resource

I also have tags for commentaries to show the "type" of commentary and then separate tags relating to the life and work of Jesus and the life and writing of Paul.

What isn't shown here is that I also have a tag for each book of the Bible - (bbGenesis, bbJohn, etc) which I assign to resources which focus on that particular biblical book.

I'm not at all sure it is the best way of managing it - and I thought about changing some of the categories partway through but it is what I ended up with.

Here is another consideration. If you use the portable apps for ios or Android I don't see an option for narrowing a search for text by tags. Maybe someone might correct me.

It has an option for narrowing your search by selecting a collection, so that if helpful for getting back a smaller set of results.

It does allow you to filter the list in the library view by using mytag:tagname though.

So I can see where both collections and tags are very useful.

Collections can be used to search on mobile apps.
MyTags can be used to filter the library on mobile apps.

The one thing I will point out is that collections can be made very easily from MyTags, which would allow users to have the best of both. [;)]

I use collections primarily, creating dynamic collections for things like commentaries on Acts, Graeco-Roman background, books by John MacArthur, and so on. This means new books added to my library should be automatically added to appropriate collections.

I use tags sparingly, always in connection with collections. So I tag some of my commentaries 'exegetical', and use that tag to create exegetical commentary collections.

I use favorites rarely, and I don't use bookmarks at all. I've got a 21" screen, so I can fit everything I need quick access to on the shortcuts bar.

I don't use layouts at all. Some people swear by them, but they don't suit my style of working. Every time I study, I'll be jumping about in different parts of the Bible, using different resources, and so on. Fixed layouts don't suit that style.

I do use custom guides quite heavily. Whenever I consult dictionaries or commentaries, it will nearly always be through a custom guide.

Alabama, it's easy to find the mis-tagged resources. Press Control-L to bring up the library view. Then click on the column header marked My-Tags. All tags that are misspelled or incorrect will be obvious.

I would like to re-resurrect this thread to say that as our libraries grow, the benefit of tagging decreases if the tools are not effective in being able to change, manage and develop our tagging systems. I do hope Logos will seriously consider a GUI for renaming, merging and selecting tags.
