Manage past presentations

We like to keep an archive of our past presentations for a number of reasons, but this is becoming cumbersome in Proclaim. Are there any plans to add document management options such as archiving or folders? That way adding new items in a presentation would only have to search recent files instead of being flooded with old songs or PowerPoint items that are no longer relevant.

If this is not possible, is there a way to download multiple presentations so that we can archive them ourselves? If so, what format will they be in? Can we open them with PowerPoint or maybe Adobe Acrobat?

Proclaim favors search over hierarchical organization. We strive to make it easy for our users to find something without forcing them to maintain an organized presentation history. It sounds like we're not meeting your needs in this area. Can you share a specific use case for how the current system is cumbersome?

You can purge old presentations by deleting them using the context menu in the Open popup. Then they will not show up in the search results.

We have future plans to support more presentation export options but the best we have today is the "View your presentation online" option in the account menu which doesn't sound like what you're after.

The primary reason we've kept old presentations in the past is that our previous worship software could be queried for things like song frequency. Our worship leaders really value this information as a tool to keep things fresh yet familiar. If some metrics were available without keeping the old presentations around, I think we could just delete them. We do use SongSelect, but they don't keep a record of songs imported using Proclaim.

Also, we have multiple locations which each do things just a bit differently, causing confusion when searching items. We tried using separate groups, but the pricing structure is such that we would be paying more than double just to keep our documents separate.

Ultimately, some sort of export function may be the quickest solution to both of those issues.

We have talked about implementing something like this frequently. No immediate plans but I see it happening in the future.

Proclaim is designed with the assumption that you will use separate groups for this scenario.
